AI Tools Budget for Indian Small Businesses in 2027: What to Pay For, What to Keep Free (Prices in Rupees)

Updated: 2 November 2026

Two years ago, "AI for business" meant one ChatGPT subscription. Today a typical 10-person Indian company pays for ChatGPT, Gemini, Canva, a writing tool, a coding assistant and two or three AI add-ons inside software it already owned, often without anyone adding it up. When we do the maths with clients, the number is usually between ₹25,000 and ₹60,000 a month, and half of it is for tools people stopped opening in August.

It is also about to get more complicated. From December 2026, OpenAI will put ChatGPT and its coding agent Codex on one shared usage allowance for Plus, Pro and Business plans. Heavy use of one eats into the other. If your team runs on ChatGPT, your "unlimited" plan is about to feel smaller.

This guide gives Indian small and mid-sized businesses a clear AI tools budget for 2027: current prices in rupees, what is worth paying for, what should stay free, three ready-made stacks by team size, and the point at which a custom AI agent becomes cheaper than subscriptions.

Quick answer

Most Indian small businesses need far fewer paid AI tools than they have. A sensible 2027 budget is about ₹400–2,400 a month for a solo founder, ₹8,000–12,000 for a 5-person team and ₹25,000–35,000 for a 25-person company, using one general assistant per power user (ChatGPT Plus at ₹1,999 or Google AI Pro at ₹1,950), the ₹399 tiers for occasional users, free tiers for everyone else, and a coding assistant only for developers. Audit every quarter, never share logins, and once any single repetitive task crosses roughly 40 staff-hours a month, a custom AI agent (typically ₹1–3 lakh one-time) usually pays back faster than more seats.

AI tool prices in India (November 2026)

Prices below are the published India prices as of late October 2026, per month, GST included where the vendor bills in rupees. Dollar-billed tools attract 18% GST plus a card forex fee of about 3.5%, so a $10 plan costs about ₹1,160. Prices change often; check before you buy.

Google AI Pro₹1,950Workspace-heavy teams; includes 2 TB+ storage and Gemini in Gmail, Docs, Sheets
ClaudePro₹1,999–2,399 (app store vs web)Long documents, careful writing, coding

Note the pattern: the ₹399 tiers from OpenAI and Google now cover what the ₹2,000 tiers did a year ago for most office work. Also note the Jio offer of 18 months of Google AI Pro on eligible unlimited 5G plans; check your mobile plan before paying ₹1,950.

What changes in December

OpenAI's help centre says that from December 2026, ChatGPT and Codex on Plus, Pro and Business plans will draw from a single token-based usage allowance. "Instant" chat will not count, but longer tasks, agents and coding sessions will. When the allowance runs out you wait, upgrade or buy credits. OpenAI says most users will not hit limits more often, but has not published the numbers.

What it means for a business: if one person uses ChatGPT for both coding and daily work, budget for them hitting the ceiling. Keep a second tool (Gemini or Claude) as a fallback for your two or three heaviest users rather than upgrading everyone to Pro.

What should stay free

  • Everyone who uses AI less than once a day. Free ChatGPT, Gemini and Claude are capable enough for occasional emails, summaries and translations.
  • Meeting notes if you use Google Meet or Teams with a paid Workspace or Microsoft plan; basic AI notes are increasingly included.
  • Grammar and rewriting. Any paid assistant does this; a separate grammar subscription is usually redundant.
  • Image generation for occasional use. Free tiers and Canva's included tools cover most social posts.
  • AI features inside tools you already pay for (CRM, accounting, design). Turn them on before buying a standalone tool for the same job.

What is worth paying for

  1. One general assistant per power user. Anyone who uses AI for more than 30 minutes a day should have ChatGPT Plus, Google AI Pro or Claude Pro. Pick one as the company standard so prompts, files and training are shared.
  2. The ₹399 tier for regular-but-light users. ChatGPT Go or Google AI Plus is the best value in Indian software right now.
  3. A coding assistant for every developer. GitHub Copilot or an equivalent at about ₹1,200 a month pays back in a day. Read why in our analysis of AI now starting 40% of all code.
  4. A business or team plan when data matters. If staff paste customer data, contracts or financials into AI, use a business plan with admin controls and training-data exclusion. This is also a DPDP question: personal data in a consumer AI account is a compliance risk. See our DPDP checklist.
  5. Canva Pro for whoever runs marketing. At about ₹393 a month it replaces several design and image tools.

7 rules to stop AI subscription creep

  1. One company standard assistant. Exceptions need a reason.
  2. Never share logins. It breaks vendor terms, loses usage history and, from December, drains one shared allowance faster.
  3. Annual billing only for tools you have used daily for 3 months.
  4. Quarterly audit: export last month's usage; cancel anything opened fewer than 8 times.
  5. Pay in rupees where possible. Dollar billing adds roughly 22% in GST and forex; app-store or India pricing often avoids the forex part.
  6. Set a written data rule: what may never be pasted into a consumer AI account (customer personal data, salaries, contracts, source code).
  7. Count the hours, not the seats. If a task still takes 40+ staff-hours a month after everyone has AI, the answer is automation, not another subscription.

When a custom AI agent beats subscriptions

Subscriptions make individuals faster. They do not remove the task. The signal to build instead of subscribe is a single repetitive process that still eats roughly 40 or more staff-hours a month: reading invoices into Tally, answering the same WhatsApp enquiries, qualifying website leads, preparing quotations, chasing payments, filling compliance forms.

A single-task AI agent built for your data and your systems typically costs ₹1–3 lakh one-time plus modest monthly running costs, and does the job without a human in the loop except for approvals. Compare that with 40 hours a month of a ₹40,000 salary (about ₹10,000 a month in time) plus the subscriptions that only partly helped. The payback is usually under a year, and it keeps working while seats come and go. Full numbers in our guide to AI agent development cost in India, and ideas in how to use AI in your small business.

Frequently asked questions

How much should a small business spend on AI tools per month?

A reasonable 2027 range is ₹400–2,400 for a solo founder, ₹8,000–12,000 for a 5-person team and ₹25,000–35,000 for a 25-person company, using paid plans only for daily users and free tiers for everyone else.

What is the ChatGPT price in India in 2026?

ChatGPT Go is ₹399 a month and ChatGPT Plus is ₹1,999 a month, billed in rupees with GST included. Pro and Business plans are billed in dollars.

Which is the best AI tool for small business in India: ChatGPT, Gemini or Claude?

They are close. Choose Gemini (Google AI Pro, ₹1,950) if your company lives in Gmail, Docs and Sheets; ChatGPT Plus (₹1,999) for the broadest general use; Claude Pro for long documents and careful writing or coding. Standardise on one for the team.

What is changing with ChatGPT in December 2026?

OpenAI is moving ChatGPT and Codex on Plus, Pro and Business plans to one shared, token-based usage allowance. Heavy coding use will reduce chat capacity and vice versa; instant chat does not count.

Is it cheaper to build a custom AI agent than to pay for subscriptions?

For individual productivity, subscriptions are cheaper. For a single repetitive process consuming 40 or more staff-hours a month, a custom agent (typically ₹1–3 lakh one-time) usually pays back within a year and removes the task rather than speeding it up.

Can employees use personal ChatGPT accounts for company work?

It is risky. Consumer accounts may use conversations for training unless settings are changed, there is no admin control, and pasting customer personal data into them can create DPDP compliance issues. Use business plans and a written data-use rule.

Conclusion

The best AI budget for 2027 is smaller and sharper than most companies' 2026 spend: one standard assistant, the ₹399 tier for light users, free for the rest, a coding tool for developers, and a custom agent for the one process that still eats your month. Audit quarterly, pay in rupees, protect your data, and let the December limit change be the excuse to clean house.
